Terms & Conditions

By making a booking or payment with us, you acknowledge that you have read, understood, and agreed to these Terms & Conditions.

1. BOOKING & CONFIRMATION

1.1 A booking is considered confirmed only after the required booking/token amount has been received by InRythm.

1.2 The booking amount may vary depending on the package and will be clearly communicated at the time of booking.

1.3 The booking/token amount is generally non-refundable, unless otherwise specifically stated in the applicable package terms or in writing by InRythm.

1.4 A booking confirmation and relevant trip information will be shared after receipt of the required payment.

1.5 Availability of hotels, transportation, activities, and other services is subject to confirmation by the respective suppliers.

2. PACKAGE PRICE & INCLUSIONS

2.1 Package prices are based on the inclusions mentioned in the respective itinerary, quotation, invoice, or package description.

2.2 The package price may include accommodation, transportation, activities, transfers, sightseeing, host services, or other services as specifically mentioned.

2.3 Items not specifically mentioned as included shall be considered excluded.

2.4 Unless expressly stated otherwise, expenses such as international/domestic flights, visas, travel insurance, meals, personal expenses, shopping, optional activities, additional transportation, excess baggage, and other incidental expenses may be excluded.

2.5 Prices may change before booking due to fluctuations in supplier rates, transportation costs, taxes, currency exchange rates, or other factors. The applicable price will be the price confirmed at the time of booking.

3. PAYMENT TERMS

3.1 The booking/token amount must be paid to initiate the booking.

3.2 The remaining balance must be paid within the payment deadline communicated for the specific package.

3.3 Failure to make the balance payment within the specified deadline may result in cancellation of the booking and applicable cancellation charges.

3.4 InRythm reserves the right to release or cancel unpaid reservations if the payment deadline is not met.

3.5 Additional costs arising from delayed payments, changes requested by the traveler, or supplier requirements may be charged separately.

4. CANCELLATION BY THE TRAVELER

4.1 All cancellations must be communicated to InRythm in writing through the officially designated communication channel.

4.2 Cancellation charges will depend on the number of days remaining before departure and the specific package booked.

4.3 The cancellation policy applicable to the booking will be the policy communicated on the relevant package page, quotation, invoice, or booking confirmation.

4.4 As travel arrangements such as hotels, transportation, activities, tickets, and other services are often pre-booked and subject to supplier cancellation policies, certain amounts may become non-refundable once paid to suppliers.

4.5 The booking/token amount will remain non-refundable unless specifically stated otherwise.

4.6 If a traveler fails to join the trip, arrives late, leaves the trip early, or voluntarily chooses not to utilize any included service, no refund will be provided for the unused portion unless otherwise agreed in writing.

5. CANCELLATION OR CHANGES BY INRythm

5.1 InRythm reserves the right to modify, reschedule, or cancel a trip in circumstances including, but not limited to:

  • Insufficient number of participants
  • Unavailability of essential travel services
  • Government restrictions or regulations
  • Visa or immigration-related restrictions
  • Airline, railway, ferry, hotel, or supplier disruptions
  • Natural disasters or severe weather conditions
  • Political, security, or other extraordinary circumstances
  • Events beyond the reasonable control of InRythm

5.2 If InRythm cancels a trip solely due to failure to meet the minimum required number of participants, the refund applicable to the traveler will be communicated by InRythm, and where stated in the package terms, the booking/token amount will also be refunded.

5.3 Where a trip is changed, postponed, or cancelled due to circumstances beyond InRythm’s reasonable control, the company may offer alternative arrangements, rescheduling, credits, or refunds depending on the circumstances and amounts recoverable from suppliers.

6. UNFORESEEN CIRCUMSTANCES / FORCE MAJEURE

6.1 InRythm shall not be held responsible for circumstances beyond its reasonable control, including but not limited to natural disasters, extreme weather, epidemics/pandemics, government restrictions, strikes, civil unrest, political disruptions, transportation disruptions, border restrictions, airline cancellations, technical failures, or other force majeure events.

6.2 In such circumstances, InRythm will make reasonable efforts to assist travelers and arrange suitable alternatives where possible.

6.3 Any additional costs arising from such circumstances may be payable by the traveler where they are not recoverable from suppliers.

6.4 Refunds, credits, or alternative arrangements, where applicable, will depend on the amounts and terms recoverable from airlines, hotels, transport operators, activity providers, and other suppliers.

7. VISA & TRAVEL DOCUMENTS

7.1 The traveler is responsible for providing accurate and complete documents required for visa applications, immigration, travel bookings, and other formalities.

7.2 InRythm may assist with documentation and visa application procedures where such assistance is included in the package or separately agreed.

7.3 Visa approval is solely at the discretion of the relevant embassy, consulate, immigration authority, or government department.

7.4 InRythm does not guarantee visa approval unless a specific written visa-refund commitment has been provided as part of the applicable package.

7.5 Any loss arising from incorrect, incomplete, misleading, or delayed information/documents provided by the traveler will be the traveler's responsibility.

7.6 Travelers are responsible for ensuring that their passport, visa, permits, travel insurance, and other required documents remain valid for the duration of the trip.

8. TRAVELER RESPONSIBILITIES

Travelers are expected to:

  • Provide accurate personal and travel information.
  • Follow applicable laws and regulations of the destination country.
  • Follow reasonable instructions provided by the trip host or tour coordinator.
  • Arrive at designated meeting points and departure locations on time.
  • Maintain appropriate conduct towards fellow travelers, hosts, hotel staff, drivers, guides, and local service providers.
  • Take reasonable care of their personal belongings.
  • Inform InRythm in advance about any specific requirements that may affect the trip.

InRythm reserves the right to take appropriate action, including removing a traveler from the trip, where their conduct creates a serious safety, legal, or operational concern. Any resulting additional costs will be the traveler's responsibility, subject to applicable law.

9. ACCOMMODATION

9.1 Hotels and accommodations will be provided according to the category and details specified in the applicable package.

9.2 Hotel names may be changed to another property of the same or similar category due to availability or operational requirements.

9.3 Room allocation will be as specified in the booking confirmation.

9.4 Any additional hotel charges, including minibar usage, room service, damages, laundry, additional guests, early check-in, late check-out, or other personal expenses, shall be borne by the traveler.

10. TRANSPORTATION & ITINERARY

10.1 Transportation arrangements will be as specified in the itinerary.

10.2 Travel times, routes, schedules, and transportation services may change due to operational, weather, traffic, government, or supplier-related reasons.

10.3 The itinerary is subject to reasonable changes where required for safety, availability, or operational reasons.

10.4 InRythm will make reasonable efforts to maintain the planned itinerary and provide alternatives where changes are necessary.

11. ACTIVITIES & OPTIONAL SERVICES

11.1 Activities included in the package are subject to availability and the terms of the respective service providers.

11.2 Certain activities may have age, health, height, weight, safety, or other participation requirements.

11.3 Optional activities not included in the package will be payable separately.

11.4 InRythm is not responsible for refunds for activities that a traveler voluntarily chooses not to participate in, unless the activity provider permits a refund.

12. PERSONAL BELONGINGS

12.1 Travelers are responsible for their personal belongings, passports, cash, electronic devices, luggage, and valuables throughout the trip.

12.2 InRythm will not be responsible for loss, theft, damage, or misplacement of personal belongings except where liability cannot legally be excluded.

12.3 Travelers are advised to maintain appropriate travel insurance and take reasonable precautions with valuables.

13. TRAVEL INSURANCE

13.1 Travelers are strongly advised to obtain suitable travel insurance covering medical emergencies, trip cancellation/interruption, baggage loss, delays, and other relevant risks.

13.2 Unless specifically stated in the package, travel insurance is not included in the package price.

14. HEALTH & MEDICAL REQUIREMENTS

14.1 Travelers are responsible for assessing whether they are medically fit to undertake the planned journey and activities.

14.2 Travelers should inform InRythm in advance of any relevant dietary, mobility, accessibility, or other requirements that may affect arrangements.

14.3 InRythm is not responsible for medical expenses, hospitalization, treatment, or medical evacuation costs unless specifically included in the package.

15. GROUP TRAVEL

15.1 Group trips involve shared transportation, accommodation arrangements, activities, and schedules.

15.2 Travelers are expected to cooperate with the group schedule and respect fellow travelers.

15.3 The trip host/coordinator may make reasonable operational decisions during the trip to ensure smooth execution of the itinerary.

15.4 Individual preferences or requests that require additional costs may be accommodated subject to availability and additional charges.

16. PHOTOGRAPHS & CONTENT

16.1 During group trips, photographs and videos may be taken for documentation and promotional purposes.

16.2 Where required, InRythm will seek appropriate consent before using identifiable traveler images for marketing or promotional purposes.

16.3 Travelers may communicate any specific privacy preferences to InRythm in advance.

17. THIRD-PARTY SERVICE PROVIDERS

17.1 InRythm works with third-party service providers including hotels, airlines, transport operators, guides, activity providers, local agencies, and other vendors.

17.2 Such services are subject to the respective provider's terms, conditions, availability, and operational policies.

17.3 Where a service is provided by a third party, InRythm will make reasonable efforts to coordinate and assist with the service but shall not be responsible for circumstances directly caused by the third-party provider, subject to applicable law.

18. CHANGES REQUESTED BY THE TRAVELER

18.1 Any request to change dates, accommodation, room type, transportation, activities, or other arrangements will be subject to availability and applicable charges.

18.2 Supplier charges and administrative costs arising from traveler-requested changes may be charged separately.

18.3 Changes are not confirmed until communicated in writing by InRythm.

19. REFUNDS

19.1 Any refund will be calculated according to the applicable cancellation terms and supplier policies.

19.2 Amounts paid to suppliers that are non-refundable may not be recoverable.

19.3 Processing time for refunds may vary depending on the nature of the booking and the time required to receive refunds from third-party suppliers.

19.4 Refunds, where applicable, will generally be made to the original payment method unless otherwise agreed.

19.5 Services not utilized by the traveler during the trip are generally non-refundable unless otherwise specified.

20. COMPLAINTS & ASSISTANCE

20.1 Travelers are encouraged to immediately inform the trip host or InRythm of any issue during the trip so that reasonable steps can be taken to resolve it.

20.2 Complaints relating to hotels, transportation, activities, or other services should preferably be raised while the service is being provided, wherever reasonably possible.

20.3 This allows InRythm and/or the relevant service provider an opportunity to investigate and resolve the issue during the trip.

21. PRIVACY & PERSONAL INFORMATION

21.1 Personal information provided during booking may be used for purposes including booking travel services, visa assistance, communication, documentation, payment processing, and other purposes necessary to provide the contracted services.

21.2 Information may be shared with relevant service providers, government authorities, embassies, airlines, hotels, or other parties where reasonably necessary for arranging the travel services.

21.3 Personal information will be handled in accordance with our Privacy Policy.

22. WEBSITE INFORMATION

22.1 We make reasonable efforts to ensure that information displayed on our website is accurate and up to date.

22.2 Photographs, illustrations, maps, hotel images, and other visual material may be representative and may not always depict the exact room, property, vehicle, or service provided.

22.3 Final inclusions and arrangements will be governed by the applicable quotation, invoice, itinerary, booking confirmation, and package-specific terms.

23. AMENDMENTS TO THESE TERMS

23.1 InRythm may update these Terms & Conditions from time to time to reflect changes in our services, operational requirements, applicable laws, or business practices.

23.2 The version applicable to a booking will be the version communicated or accepted at the time of booking, subject to applicable law.

24. GOVERNING LAW & JURISDICTION

These Terms & Conditions shall be governed by the applicable laws of India. Any disputes arising in connection with the services provided by InRythm shall be subject to the jurisdiction of the competent courts/authorities in Mumbai, Maharashtra, India, unless otherwise required by applicable law.

25. ACCEPTANCE OF TERMS

By making a booking or payment with InRythm Travels & Tours LLP, the traveler confirms that they have read, understood, and accepted these Terms & Conditions, together with the applicable package-specific inclusions, payment schedule, cancellation policy, itinerary, and other booking documents provided by InRythm.
